1. Who we are

DSO Hire LLC ("DSO Hire," "we," "us," or "our") operates the website at https://dsohire.com and the related job-board services (the "Services"). Our principal office is in Prairie Village, Kansas. You can contact us at info@dsohire.com.

2. Scope of this policy

This Privacy Policy explains how we collect, use, share, and protect personal information when you use the Services. It applies to: (a) employer / DSO customers who post job listings or sign up for a paid subscription; (b) job seekers / candidates who create an account, upload a resume, or apply to a posted job; and (c) visitors who browse the Services without creating an account.

3. Information we collect

3.1 Information you provide to us

  • Account information: name, email address, password, professional title, employer name, phone number
  • Job seeker profile content: resume / CV, work history, education, skills, certifications, salary expectations, location preferences, photo (optional)
  • Employer / DSO posting content: organization name, locations, job descriptions, salary ranges, contact information for hiring managers
  • Subscription billing information: the cardholder name and last four digits of the payment card. Full payment card numbers are processed by our payment processor (Stripe) and never stored on our servers
  • Communications you send to us: support requests, sales inquiries, feedback

3.2 Information collected automatically

  • Device and connection data: IP address, browser type and version, operating system, device identifiers, referring URLs
  • Usage data: pages viewed, time on page, links clicked, search terms entered, jobs viewed and applied to
  • Cookies and similar technologies: see our Cookie Policy

3.3 Information from third parties

  • Single sign-on providers (Google, LinkedIn, etc.) if you choose to sign in via SSO
  • Background-check or identity-verification services if a paying employer uses our integration to screen applicants (only with the candidate's separate consent)
  • Analytics and advertising platforms that share aggregated data about audience reach

3.4 Information we deliberately do not collect

We design the Services around the principle that data we don't hold can't be exposed, misused, or weaponized in a discrimination claim. We do not ask for the following, and our application forms reject attempts to provide them in free-text fields:

  • Federal identifiers tied to professional licensure: DEA registration number, NPI, full state license issuance dates beyond what employers typically request, federal tax IDs. Verification of these happens directly between you and the hiring employer at the credentialing or onboarding stage, off-platform.
  • Government identifiers: Social Security number, driver's license number, passport number, state ID number. I-9 and E-Verify are completed at the employer's offer stage, not on DSO Hire.
  • Date of birth: we don't collect DOB before a hiring decision. Age-related information surfaces only when an employer runs a separate, consented background check at the offer stage through a third-party provider.
  • Protected-class characteristics: race, ethnicity, national origin, religion, citizenship status, sex assigned at birth, gender identity, sexual orientation, disability status, pregnancy or family status, genetic information, military status. None of these belong in a hiring-screen surface and we do not ask.
  • Biometric data: no fingerprints, voiceprints, facial-geometry data, or retina scans.
  • Financial account details: no bank account numbers, routing numbers, or payroll information. Payment-card processing is handled by Stripe; we never see or store full card numbers.
  • Health information: no diagnoses, prescriptions, medical-history disclosures, or treatment records.
  • Spouse, dependent, or family information: we don't collect names, dates, or relationships of people related to you.
  • Home address pre-offer: we use city and state for location matching; we don't ask for street addresses until they are needed for a specific offer-stage step.

If a paying employer needs sensitive information to extend an offer or fulfill a regulatory obligation (e.g., I-9 verification, professional-license credentialing, payroll setup), that exchange happens directly between you and the employer under their own data-handling practices, not through DSO Hire.

4. How we use information

We use personal information to:

  • Provide, operate, and maintain the Services
  • Match candidates with employer job postings and process applications
  • Process subscription payments, send invoices, and handle billing inquiries
  • Send transactional communications (account notifications, application receipts, password resets, security alerts)
  • Send marketing communications about new features, pricing changes, or industry content (you can opt out of marketing email at any time)
  • Detect and prevent fraud, abuse, and violations of our Terms of Service
  • Comply with legal obligations, respond to lawful requests, and enforce our agreements
  • Improve and develop the Services through aggregated and de-identified analytics

5. Legal bases for processing

We process personal information based on: (a) your consent (which you may withdraw at any time); (b) the necessity of processing to provide the Services you requested; (c) compliance with legal obligations; and (d) our legitimate interests in operating, securing, and improving the Services, where those interests are not overridden by your rights.

6. How we share information

We share personal information only as described below:

  • With employers who post jobs, when you apply to their listings: the employer receives the resume, profile, and any application materials you submit. Employers act as independent controllers of that information after they receive it.
  • With service providers (sub-processors) who help us operate the Services, including hosting (Vercel), database (Supabase), payments (Stripe), transactional email (Resend), human email (Microsoft 365), and analytics. These providers process information on our instructions and under written agreements that restrict their use of the information.
  • With professional advisors (attorneys, accountants, auditors) under duty of confidentiality.
  • With successors in a merger, acquisition, financing, or sale of assets, where personal information is one of the assets transferred.
  • With law enforcement or government authorities when required by valid legal process or to protect rights, safety, or property.
  • With your consent for any other purpose disclosed at the time we ask for the information.

We do NOT sell personal information for monetary consideration. We do not knowingly disclose personal information to third parties for their independent advertising purposes.

7. Data retention

We retain personal information for as long as your account is active and for a reasonable period thereafter to comply with legal obligations, resolve disputes, and enforce our agreements. Specific retention windows:

  • Active account data: until you close your account
  • Employer subscription billing records: 7 years from last invoice (US tax requirement)
  • Job application history: 3 years from application date (default; configurable per employer)
  • Server logs and analytics: 13 months
  • Marketing communications consent: until you opt out

8. Your rights

Depending on your jurisdiction, you may have the right to: (a) confirm whether we process personal information about you; (b) access a copy of that information; (c) correct inaccurate information; (d) delete information; (e) restrict or object to certain processing; (f) data portability; and (g) opt out of targeted advertising or sales (we do not sell or use your data for cross-context behavioral advertising as those terms are defined under US state privacy laws).

To exercise any of these rights, contact us at info@dsohire.com. We will respond within the timeframe required by applicable law (typically 30 to 45 days). If you are unsatisfied with our response, you may also lodge a complaint with your state attorney general or applicable supervisory authority.

9. Children's privacy

The Services are intended for users 18 years of age or older. We do not knowingly collect personal information from anyone under 18. If you believe a person under 18 has provided personal information to us, please contact us so we can delete it.

10. Security

We use reasonable administrative, technical, and physical safeguards to protect personal information, including encryption in transit and at rest, access controls, and regular security review of our service providers. No system can be guaranteed perfectly secure; we cannot warrant absolute security and you provide information at your own risk.

11. International data transfers

The Services are hosted in the United States. If you access the Services from outside the US, you understand that your information will be transferred to and processed in the US, where data-protection laws may differ from those in your country.

12. Changes to this policy

We may update this Privacy Policy from time to time. We will post the updated policy on https://dsohire.com with a new effective date and, for material changes, we will notify users by email or in-app notice. Your continued use of the Services after the effective date constitutes acceptance of the updated policy.
